HMRC agent credentials, bank feeds, payroll files and identity documents for every client. That is what actually shapes a practice’s IT.

What a practice needs from an IT company

Practices rarely leave a provider over a single outage. They leave because nobody answers quickly, because the person who does answer has never heard of the software the firm runs on, and because the same problem comes back every few weeks with a new ticket number.

We keep the relationship small enough that the engineer picking up your call already knows your environment, and we work directly with your software vendors when a fault sits on their side rather than handing you a reference number and closing the ticket.

The data you are holding on behalf of others

A practice is an unusually attractive target, because one set of credentials reaches many businesses. What protects it is specific rather than general:

Multi-factor authentication on email and on every remote route into the practice, without exceptions for partners
HMRC agent services and software logins held as named accounts, not shared on a spreadsheet
Identity and anti-money-laundering documents stored with controlled access and a retention period, not left in a mailbox
Bank feed and payroll data kept inside the practice environment rather than on laptops and home machines
A leaver process that removes access the same day, including from the software your staff sign into directly

Your busy periods are known a year in advance

Payroll month ends, quarterly VAT, the year-end run and the January self-assessment peak are all in the diary before the year starts. There is no excuse for a migration landing in the middle of one.

We plan significant changes around them and hold a change freeze through the busiest weeks, so the only things touching your systems at that point are the things that keep them running. Capacity gets reviewed before the peak rather than in the middle of it.

Outsourced teams and third-party access

Many practices now use offshore bookkeeping teams, temporary seasonal staff or a consultant who needs access for a fortnight. Each one is an access decision, and most practices have made several without a record of them.

We set these up as time-limited accounts with defined permissions that can be shown to a client who asks who has touched their records — and removed cleanly when the work ends. Where the practice works in a hosted desktop, that becomes far simpler, because no client data ever leaves the environment.

Taking over from whoever has it now

Changing IT provider sounds worse than it is. The work is documentation, administrator credentials, a licence audit and a clear view of what is actually running before anything is altered. We do not make changes in the first weeks for the sake of looking busy.

Do you support Xero, Sage, IRIS and QuickBooks?
Yes, along with the add-ins and integrations practices depend on around them. We support the environment they run in and deal with the vendor directly when the fault is theirs.
Do we have to move to the cloud to work with you?
No. Plenty of the practices we support still run an on-premise server, and that is a reasonable choice while the hardware has life in it. We will tell you when it stops being the right answer rather than pushing a migration you do not yet need.
Our bookkeeping team is overseas. Can they work securely?
Yes, and it is one of the more common things we set up. The team works inside your environment with defined, time-limited access rather than being sent client files, so nothing is copied onto a machine you cannot see.
Can you take over from our current IT provider without disruption?
Yes. The first phase is documentation, credentials and a licence audit so we understand what exists. Changes come after that, planned around your filing calendar rather than ours.
What about HMRC agent logins and multi-factor authentication?
They should be named accounts with MFA, held in a proper password manager rather than a shared file. It is one of the first things we tidy up, because a single shared agent login is the difference between an incident affecting one client and an incident affecting all of them.
We are a three-partner practice. Are we too small?
No. Most of the firms we support have between five and sixty staff, and smaller practices usually feel the benefit fastest because the alternative is a partner doing it at the weekend.
