Firms rarely call us about email. They call because a matter file will not open, or because a completion is booked for Friday.

Your case management system sets the priority

Whether the firm runs LEAP, Clio, Actionstep, Osprey, Proclaim or an older on-premise install, everything else is secondary to it. When that system is slow or unavailable, fee earners stop recording time and clients notice within the hour.

We look after the environment the system depends on — the server or hosted desktop it runs on, the database behind it, the document store, the Outlook integration and the scanning workflow that feeds it. Where a problem genuinely belongs to your software vendor, we raise it with their support desk and stay on the ticket rather than handing you back a phone number.

Confidentiality is a professional obligation, not a setting

Privileged correspondence sits in the same mailbox as everything else, and a misdirected email is a reportable problem rather than an embarrassment. Most of what actually protects a firm is unglamorous and specific:

Multi-factor authentication on email and remote access, enforced rather than encouraged
Matter-level folder permissions, so support staff and paralegals see only what the role requires
Encrypted laptops, with remote wipe if one goes missing between the office and court
Clear, enforced rules for firm email on personal phones
Joiners, movers and leavers run as a written process, so a departing fee earner loses access the same day

Deadlines do not move for IT

Completion dates, filing deadlines and limitation dates are fixed. A failure at three in the afternoon on a completion day is not an ordinary support ticket, and “we can restore last night’s backup” is not always an acceptable answer.

So we test restores instead of assuming them, keep a written recovery plan for the systems the firm cannot work without, and agree in advance what happens if the case management system is unavailable on a day when money has to move. Backup and business continuity sits alongside day-to-day managed support rather than being sold as an extra.

Archives, retention and the file you closed in 2013

Matter files have to be retained long after a case ends, then produced again when a complaint, an audit or an SRA enquiry arrives. In practice that means legacy archives on a server nobody maintains, PST files on a retired machine, and scanned deeds in a folder structure only one person understands.

We help firms get that material into something searchable, permissioned and genuinely backed up — usually as part of a move to hosted desktops, so the archive lives in the same protected environment as live work.

Do you work alongside our practice management supplier?
Yes, and we expect to. We support the infrastructure their software runs on, and we deal with their support desk directly when an issue sits on the line between the two. You should not be the one relaying messages between two technical teams.
Can fee earners work from home without moving off our current case system?
Usually, yes. A hosted desktop presents the firm’s existing applications and matter files in one secure session, reachable from an office PC, a laptop at home or a machine at a client’s premises. Nothing is copied onto the local device, which is what makes it defensible.
Where would our client data be held?
On UK-based infrastructure. We will tell you exactly where your data sits, who can reach it and how it is backed up, and put that in writing so it can go straight into your own risk assessment.
We are a four-partner firm. Are we too small for managed IT?
No. Most of the firms we look after have between five and sixty staff. Smaller practices often gain the most, because there is no internal IT team and the partners have been absorbing the work themselves.
What happens to our data if we leave iKORE?
It is your data and you take it with you. We hand over the files, the accounts and the documentation, and we work with the incoming provider. iKORE has been doing this since 2015, and how a firm leaves matters as much as how it arrives.
